SmartDocuments has operated as a specialist in template management and document automation since 1999. Every day more than 500 organisations, with more than 400,000 users, rely on the SmartDocuments system. The company employs 30 professionals in Deventer and its overseas branches in Germany and Sweden.

Many government customers

SmartDocuments includes document-intense organisations such as ministries, provinces, local authorities, utilities, banks, insurers, multinationals, housing corporations and commercial companies among its customers. With its trend-setting products and innovative techniques, SmartDocuments is the market leader in The Netherlands among local authorities, provinces, water companies and other market segments. SmartDocuments is used by 65% of the largest local authorities in the country.

It is not unusual for document-intense organisations to have thousands of document templates at their disposal. Overseeing them is not only complex but also subject to change. Making and altering them is almost impossible without profound programming knowledge. Is the most current template being used? Is permission needed to use it or change it? These are common problems that take up a lot of precious time. With SmartDocuments software this process is more efficient to manage without any prior knowledge of programming!

SmartDocuments simplifies the process of making, changing and administering document templates, thus streamlining outgoing ad hoc or bulk correspondence independent of the IT department.

After a short training, administrators are able to independently make templates for letters, mailings, invoices, delivery receipts, reports, estimates, contracts etc. In terms of management, SmartDocuments has in effect programmed itself out of business….. customers can make the most diverse documents swiftly and faultlessly with the handy SmartDocuments ‘question and answer wizard’.

Big rollout abroad

In conjunction with a major partner, SmartDocuments is being installed in nearly 3,500 law firms in Germany, the Czech Republic and Slovakia. This means significant expansion in Germany. An even bigger expansion

project is on the horizon there; a 10-year deal has been signed with a German partner which has 80% of German local authorities as clients.

About 25% of revenue is currently overseas though this is predicted to rise rapidly to 50%. Growth is also expected in Belgium, France and, in the near future, the USA. As a result, SmartDocuments expects a significant rise in its workforce.
